Privacy policy

Scope

This policy covers information collected through this website and in the course of providing revenue cycle, credentialing and practice-support services. Protected health information handled on behalf of a covered entity is governed separately by our HIPAA obligations and by the business associate agreement in place with that practice — see our HIPAA notice.

What we collect

Through this website, only what you give us:

  • Contact details you submit — name, practice name, email address, mobile number
  • Your text-message consent, if you give it — the time, page and wording you agreed to
  • Practice details you submit — specialty, provider count, practice-management system
  • Anything you write in a free-text field
  • Standard server logs, including IP address, user agent and pages requested

We ask you not to submit patient information through the contact form. If protected health information is needed to evaluate your revenue cycle, we establish a secure channel and a business associate agreement before anything is exchanged.

How we use it

  • To respond to your inquiry and prepare the analysis you requested
  • To provide and administer services you engage us for
  • To meet legal, regulatory and contractual obligations
  • To maintain the security and integrity of our systems

We do not sell personal information, and we do not share it for third-party advertising.

Who we share it with

Access is limited to personnel who need it to do the work. We use vetted service providers for infrastructure, communications and security, each bound by contract to confidentiality and security terms at least as protective as those in this policy. Text-messaging opt-in data and consent are never shared — see Text messaging. We disclose information to authorities only where legally required.

Retention

We keep information for as long as needed for the purpose it was collected, and afterwards only where a legal, regulatory or contractual obligation requires it. Records covered by a business associate agreement are retained and destroyed according to that agreement.

Security

Data is encrypted in transit and at rest. Access is role-scoped and reviewed. Personnel receive HIPAA and security training, and access is revoked when it is no longer required. No system is perfectly secure, and we do not claim otherwise — we do commit to notifying affected parties and regulators as required if a breach occurs.

Your choices

You may request access to, correction of, or deletion of personal information we hold about you, and you may ask us to stop contacting you. Where a request concerns protected health information held on a practice's behalf, we will direct it to that practice, which holds the relationship with the individual concerned.

Text messaging (SMS)

If you give us a mobile number and tick the text-message consent box on our contact form, or agree on a call with our team to receive texts, we may text you about your inquiry, the VisMed services you ask about, the free AR audit and calls you schedule with us. Consent is optional and is not a condition of any purchase or service. Message frequency varies, typically no more than 5 messages a month. Message and data rates may apply. Reply STOP at any time to opt out and HELP for help. Full terms are in our SMS terms.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

The sharing described elsewhere in this policy excludes text-messaging opt-in data and consent. Your number is used only to send the messages you agreed to.
